The Miami HEAT Media Technology team is hiring a Media Asset Management Coordinator. The MAM Coordinator owns the operational health of the Media Asset Management system — day-to-day ingest and quality of the organization's media assets — and acts as the primary support resource for DAM and MAM users across departments. This role sits between system strategy (owned by the Manager and Director) and hands-on execution, and is expected to exercise independent judgment in resolving user issues, prioritizing competing requests, setting and enforcing quality and metadata standards, and recommending workflow improvements rather than simply executing fixed procedures.
ESSENTIAL FUNCTIONS: The following are examples of the various functions required. The job requirements are not limited to the items on this list.
Asset Ingest & Workflow Ownership
Own the day-to-day ingest process for incoming media assets — game footage, broadcast feeds, and production assets — determining appropriate handling based on asset type, priority, and downstream use
Direct and oversee ingest and archive workflows performed by Media Asset Assistants, ensuring consistency with established standards and stepping in to resolve exceptions
Serve as the operational owner of assigned ingest and retrieval workflows, with authority to adjust process where existing procedure doesn't fit a given situation
Quality Control & Standards
Establish and enforce quality control checkpoints across ingest, metadata tagging, and asset delivery, exercising judgment on what does and doesn't meet standard
Own metadata standards compliance for assigned asset categories, identifying gaps and recommending corrections to standards as the archive evolves
Audit existing archive content on a recurring basis and determine remediation priority
User Support (MAM & DAM)
Serve as the primary point of contact for MAM and DAM users experiencing access, workflow, or asset retrieval issues, diagnosing root cause and determining resolution path
Evaluate and respond to ad hoc user requests for asset access or workflow exceptions, weighing urgency and system governance
Identify recurring user pain points and recommend process or training changes to the Manager
Archive & Restore Support
Assist with archive and restore workflows, coordinating with technical and IT staff when needed.
Support decision-making on archive retention, migration, and purge policy.
Cross-Functional Coordination
Coordinate with Media Asset Assistants and Media Systems Technician on workflow handoffs and shared priorities
Represent asset management operations in cross-department discussions involving media requests, ensuring MAM/DAM constraints and standards are understood by requesting teams.
System Health & Documentation
Monitor and report on MAM/DAM system health — ingest volume, error rates, storage utilization, and recurring issues — flagging trends to the Manager, Director, and system technician to inform planning decisions
Own SOP documentation for assigned workflows, maintaining accuracy and revising procedures as workflows evolve, with authority to determine when existing documentation no longer reflects actual practice
Assist in the ongoing growth and development of the MAM and DAM systems, contributing operational insight to system enhancements, new feature rollouts, and process redesign as the platforms evolve
Game Night Media Operations
Serve in a rotating on-call capacity as the lead for media management on game nights, with one individual holding overall responsibility for media operations on any given night
Oversee gameday aircheck recording, confirming setup is correct, and recordings are captured properly for every game
Oversee all media ingest and asset requests occurring during the game, prioritizing and resolving issues as they arise in real time
Troubleshoot basic technical issues independently, escalating only when a problem is beyond first-line resolution
Serve as the point of coordination between broadcast, in-arena production, broadcast services, IT, and content teams for any media-related need during the game
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Experience in a live sports or broadcast production environment
Familiarity with legacy video archive formats and migration workflows
2+ years' experience in media asset management, digital asset management, or broadcast archive operations; strong working knowledge of MAM/DAM platforms, metadata structures, and asset lifecycle management; working technical background sufficient to independently troubleshoot common Windows environment problems, Adobe Creative Suite functionality, and CatDV/Telestream Vantage platform behavior; or equivalent combination of education and experience.
