Position Summary

The Executive Assistant is a highly trusted partner responsible for ensuring the Executive Office operates with exceptional organization, preparation, communication, and follow-through. This is a high-impact role for a forward-thinking, resourceful professional who can anticipate needs, manage competing priorities, and help translate executive direction into coordinated action.

The ideal candidate is an exceptionally organized and polished communicator with strong judgment, outstanding written skills, and the ability to manage a demanding executive calendar and fast-moving priorities. They will be comfortable operating at both a detailed administrative level and a broader organizational level—supporting & planning meetings, communications, executive planning, projects, and cross-functional coordination.

Key Responsibilities

Executive Support and Calendar Management

  • Manage a complex and dynamic calendar including internal and external meetings, travel, events, and organizational commitments.
  • Prioritize incoming meeting requests and manage scheduling in alignment with executive and organizational priorities.
  • Anticipate the executive’s needs and ensure they are thoroughly prepared for meetings, presentations, travel, and key engagements.
  • Prepare agendas, briefing materials, background information, talking points, and meeting documents.
  • Coordinate travel arrangements, itineraries, expense reporting, logistics, and event-related details.
  • Protect the executive’s time by ensuring meetings are purposeful, well prepared, and aligned with priorities, as well as efficiently scheduled across various locations.
  • Gameday management: coordinator game invitations, suite guests, game tickets, suite management, catering, security and manage overall gameday experience for executive’s guests.
  • Manage and coordinate incoming requests for speaking engagements, game tickets, outside event, NFL meetings, client & community engagements. Respond as necessary and represent executive’s voice in responding.
  • Develop strong relationships with stakeholders and demonstrate commitment to be in the role for years to come.

Strategic Coordination and Follow-Through

  • Maintain visibility into executive priorities, key initiatives, critical decisions, and commitments across the organization.
  • Track action items, decisions, deadlines, and follow-up responsibilities resulting from leadership meetings and executive discussions.
  • Coordinate with internal stakeholders to ensure timely communication, alignment, and execution on priority initiatives.
  • Identify potential scheduling conflicts, gaps in information, risks, or issues requiring executive attention.
  • Support the planning and execution of leadership meetings, Flock Forums, offsites, organizational events, and other high-priority initiatives.
  • Develop and maintain effective systems, processes, and tools that improve organization, communication, and accountability within the Executive Office.

Communications

  • Draft, edit, and coordinate high-quality executive communications, correspondence, presentations, meeting materials, and internal updates.
  • Ensure communications are clear, professional, timely, and consistent with the executive’s voice and intent.
  • Serve as a primary point of contact for the Executive Office, managing requests and interactions with professionalism, responsiveness, and sound judgment.
  • Communicate effectively with leaders, staff, external partners, and other stakeholders at all levels of the organization.
  • Exercise discretion in handling sensitive, confidential, and time-sensitive matters.

Project and Organizational Support

  • Support and, when appropriate, coordinate cross-functional projects and special initiatives on behalf of the executive.
  • Help drive clarity around project ownership, timelines, next steps, and communication needs.
  • Conduct research, compile information, and prepare summaries to support executive decisions and planning.
  • Partner with departments across the organization to facilitate efficient communication and timely execution.
  • Continuously look for opportunities to improve how the Executive Office operates and supports the broader organization.

Qualifications

  • Proven experience supporting a senior executive or leader in a fast-paced, high-accountability environment.
  • Exceptional organizational skills, with the ability to manage multiple priorities, shifting deadlines, and confidential matters with accuracy and composure.
  • Strong written communication skills, including the ability to draft polished correspondence, presentations, summaries, and executive-level materials.
  • Strong verbal communication and interpersonal skills, with the ability to build credibility and work effectively with diverse stakeholders.
  • Demonstrated ability to think ahead, anticipate needs, solve problems proactively, and exercise excellent judgment.
  • Highly detail-oriented while maintaining a clear understanding of broader priorities and objectives.
  • Ability to manage complex calendars, travel, meetings, and executive logistics with discretion and precision.
  • Strong proficiency with Microsoft Office, specifically Excel, calendar, presentation, document, and collaboration tools. Technology forward and comfortable.
  • Ability to work with flexibility, including outside traditional business hours when required by executive priorities, travel, or club events, such as games, concerts, etc.

Preferred Qualifications

  • 8 - 10+ years of experience supporting an executive within professional sports, entertainment, hospitality, media, or another high-performance organization.
  • Experience coordinating projects, meeting and event planning, facilitating leadership meetings, or supporting cross-functional initiatives.
  • Experience preparing materials for senior leadership, boards, or executive-level audiences.
  • Bachelor’s degree or equivalent relevant experience.

Salary and Benefits:

 

  • Range: $89,000 - $114,000
  • Company-paid health insurance, including health and vision. Dental insurance also provided with minimal employee contribution
  • Competitive 401(K)
  • Paid time off to include 3 weeks of vacation and 5 personal/sick days
