SUMMARY

The Accounting Assistant performs a combination of accounts payable, accounts receivable, cash management support, reporting, and administrative functions for the Finance and Accounting department. This role is responsible for accurately processing financial transactions, maintaining accounting records, supporting cash reconciliation and reporting activities, and providing administrative assistance that enables the efficient operation of the accounting team. The position works closely with internal departments and external stakeholders to ensure timely, accurate, and compliant financial processes.

 

DUTIES AND RESPONSIBILITIES

  1. Perform full-cycle accounts payable activities, including invoice review, coding, entry, vendor maintenance, and support of payment processing, utilizing Bill.com, Quickbooks and Atlas5 platforms.
  2. Perform accounts receivable activities, including customer invoicing, payment application, account maintenance, collections support, and customer account inquiries, if applicable.
  3. Assist with daily, weekly, and monthly cash reconciliations by researching discrepancies, preparing supporting schedules, and validating transactions.
  4. Support cash reporting and other routine financial reporting requirements by compiling, organizing, and maintaining accurate information.
  5. Reconcile assigned general ledger accounts, such as cash and A/P accounts, and prepare supporting documentation as directed.
  6. Research and assist with resolving invoice, payment, customer account, and cash reconciliation discrepancies.
  7. Provide administrative support to the Finance and Accounting team, including data entry, document management, filing, scanning, record retention, correspondence, and others as dictated by business needs.
  8. Collaborate with internal departments and external vendors, customers, and banking partners to resolve routine issues and obtain required information.
  9. Identify and communicate opportunities to improve the efficiency and accuracy of accounting processes and administrative workflows.
  10. Special projects and other duties as assigned.
  11. Responsible for the maintenance, creation and control of all personally identifiable information or any other information protected by any Confidentiality or Privacy Standards or Company Policies that you have access or knowledge of, including but not limited to any state or federal regulations including HIPAA.

 

SUPERVISORY RESPONSIBILITIES

  • This position has no supervisory responsibilities.

 

SKILLS AND QUALIFICATIONS

  • Bachelors degree in Accounting, Finance, Business Administration or similar relevant field
  • Basic knowledge of accounts payable, accounts receivable, and accounting reconciliation processes.
  • Basic proficiency with Microsoft Excel and the ability to learn and use accounting software and other standard office applications.
  • Ability to perform routine data entry and maintain accurate records.
  • Ability to communicate effectively and work collaboratively with internal and external contacts.
  • Team-oriented mindset with the flexibility to support administrative and accounting functions as business needs require.
  • Must be able to learn new tasks and complete tasks independently
  • Must be able to make timely decisions in the context of the workflow
  • Must possess strong organizational skills, ability to multi-task and responsiveness
