SUMMARY:  

The Workforce Coordinator is responsible for supporting the administrative functions related to part-time TeamOps employees. This role contributes to the development, implementation, and oversight of employee welfare programs and engagement initiatives that align with departmental goals and organizational objectives.

 

The Workforce Coordinator serves as a key point of contact for TeamOps staff, providing proactive and consistent communication while acting as a liaison between TeamOps and various Kraft Group companies to enhance the overall employee experience. Success in this role requires building strong relationships, fostering a positive work environment, and recognizing the value and contributions of each team member.

 

DUTIES AND RESPONSIBILITIES

  1. Contribute to the implementation and oversight of staff-related programs (communication and engagement strategies) with an emphasis on creating a positive culture, enhancing the employee experience, and streamlining administrative and/or operational processes.
  2. Provide onsite workforce support during assigned events by resolving routine staff questions and operational issues within established procedures and escalation guidelines.
  3. Complete required notification and documentation for employee injuries and reported policy infractions in accordance with established procedures and reporting timelines.
  4. Coordinate execution of the TeamOps employee recognition program for assigned events in accordance with established program guidelines.
  5. Facilitate new hire functional training and administer all quizzes, tours, and hands-on activities on a weekly basis and maintain required training completion records. 
  6. Oversee uniform and equipment distribution area with emphasis on quality control, item availability, and budget management.
  7. Analyze post-event Supervisor feedback and present summary of opportunities to improve on operations or advise on trends that should be addressed by leadership.
  8. Work collaboratively with the Project Management Team to analyze employee show rates, call offs and no-shows post events to gauge accuracy and stability of workforce. Create visuals and present TeamOps leadership as required.
  9. Conduct staff outreach in preparation of events and schedule all other personnel necessary to engage in staff-wide communication.
  10. Maintain certification and license renewal tracking for applicable part-time employees; initiate renewal communications before expiration and provide completed renewal information to Human Resources for HRIS recordkeeping. 
  11. Special projects and assignments as business dictates.
  12. Responsible for the maintenance, creation and control of all personally identifiable information or any other information protected by any Confidentiality or Privacy Standards or Company Policies that you have access or knowledge of, including but not limited to any state or federal regulations including HIPAA.

 

SUPERVISORY RESPONSIBILITIES

  • This position has no supervisory responsibilities.

 

SKILLS AND QUALIFICATIONS

  • Bachelor's degree preferred.
  • 3+ years of experience in a fast paced, rapidly changing event-based environment with a large staff.
  • Possess strong quantitative, analytical, and technical skills.
  • Ability to work under pressure, meet deadlines and be accountable for performance.
  • Highly organized, detail oriented with the ability to multi-task.
  • Demonstrate excellent interpersonal skills with all levels of organizational customers and team members.
  • Ability to communicate information effectively, accurately, and concisely to staff via multiple mediums of communication.
  • Proactively define problems, identify solutions, and provide recommendations for corrective action.
  • Must possess the ability to work independently.
  • Must be flexible and excel as a team player in a fast-paced environment.

  • Normal office environment on non-event days.
  • During events the work environment can be loud and subject to weather elements such as cold, heat, rain, snow, wind.
