Job description

The HR Records & Compliance Assistant is a temporary position supporting the People & Culture department by digitizing personnel files and assisting with employee records and compliance projects. The primary focus of this role is to convert paper personnel files into organized electronic records, consolidate employee documentation from multiple HR systems into a centralized digital filing system, and help ensure employee files are complete, accurate, and organized in accordance with company policies and applicable regulations.

In this role you will:

  • Scan, digitize, and organize employee personnel files into electronic records
  • Retrieve employee records from multiple systems and consolidate documentation into centralized electronic personnel files
  • Merge existing digital records with newly scanned documents to create complete and organized employee files
  • Review personnel files for completeness, identify missing documentation, and assist in resolving record discrepancies
  • Support audits by reviewing documentation, organizing records, and assisting with compliance activities
  • Assist with employee records retention and document management in accordance with company policies and applicable federal and state regulations
  • Organize electronic filing systems using established naming conventions and document management standards
  • Maintain tracking logs and provide updates on project progress
  • Handle sensitive employee information with a high level of confidentiality and professionalism
  • Assist with additional administrative, records management, and compliance projects, as assigned

 

What you'll bring to the role:

  • Previous administrative, records management, or Human Resources experience
  • Experience with electronic document management systems or Human Resources Information Systems (HRIS); Paycom experience is preferred
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook
  • Familiarity with personnel records, employment documentation, or compliance-related processes
  • Effective written and verbal communication skills
  • Ability to work independently while managing multiple priorities
  • Sound judgment and discretion when handling confidential employee information and following established policies and procedures
  • Analytical skills to identify inconsistencies, missing documentation, and opportunities to improve record organization
  • Strong organizational, time management, and prioritization skills with attention to detail, accuracy, and the ability to maintain quality while performing repetitive tasks

 

Additional Details

This is a temporary, part-time position reporting to the Director, People & Culture. The primary work location is the Paycom Center in downtown Oklahoma City. The work schedule may include weekday office hours, with flexibility based on department needs. Physical responsibilities include sitting or standing for extended periods while working at a computer, scanning documents, and organizing employee records. This role also requires frequent use of computers, scanners, copiers, and other office equipment. In addition, the position requires the ability to occasionally lift and move boxes weighing up to 25 pounds and handle paper files for extended periods.
