As we continue to scale our global platform, the Fine Art Administrator will play a critical role in driving end-to-end operational execution across multiple fine art artist programs.

ROLE OVERVIEW

The Fine Art Administrator serves as the operational lead for the Fine Art program, driving execution across internal teams and external partners. This role manages the end-to-end performance of multiple artist programs, ensuring compliance across licensing, product setup, logistics, and finance — with direct ownership of workflows spanning SKU governance, inventory movement, event activations, and website product launches. The Fine Art Administrator delivers business and fan impact through BOLD leadership and execution excellence, leveraging data, automation, and AI-enabled insights.

HOW WILL YOU DRIVE IMPACT

Success is measured by the ability to deliver results through BOLD capabilities and measurable outcomes.

Team & Leadership Impact (Build Championship Teams)

  • Partner cross-functionally with Product, Licensing, Accounting, Operations, Sales, and Marketing teams to align priorities, resolve blockers, and keep multiple fine art programs on track.
  • Establish and maintain accurate project documentation and status reporting across active programs, serving as the connective tissue between internal stakeholders and external artist partners.
  • Coordinate with Marketing and Social teams to align product launches, content timelines, and in-person event activations, ensuring seamless execution across all touchpoints.

Fan & Customer Impact (Obsessed with Fans)

  • Manage the operational workflow for website releases, ensuring product data, imagery, and availability are accurate and aligned with launch timelines so fans receive a consistent, high-quality purchase experience.
  • Monitor live product status and resolve discrepancies that could impact customer experience or sales, acting quickly to protect the fan-facing presentation of each fine art program.
  • Lead real-time operational execution for in-person events, shows, and activations, making on-the-spot decisions that uphold the integrity of the fan and collector experience.
  • Oversee submission workflows to licensors, ensuring compliance with approval requirements so that product reaches fans through properly authorized channels.

Innovation & Problem Solving (Limitless Entrepreneurial Spirit)

  • Develop, document, and continuously improve standard operating procedures and policies, identifying workflow risks, bottlenecks, or delays and implementing corrective actions before they escalate.
  • Design and manage operational tools, trackers, and templates that improve visibility, accountability, and program performance across multiple concurrent workstreams.
  • Evaluate workflow performance across submissions, transfers, receiving, and payment processes, identifying operational gaps and leading process improvement initiatives to support program growth.
  • Exercise independent judgment to resolve complex operational, logistical, or compliance-related issues, bringing a creative, solutions-first mindset to novel challenges in a high-growth environment.

Ownership & Execution (Determined & Relentless Mindset)

  • Direct SKU building and product data governance, ensuring accuracy and consistency across all fine art listings and inventory records.
  • Manage inventory allocation and movement across sites, events, and artists, monitoring artwork flow across the supply chain and resolving shipment, inventory, or delivery exceptions with urgency.
  • Oversee domestic and international shipping execution, ensuring documentation accuracy and compliance with all applicable requirements.
  • Lead operational execution across multiple fine art programs simultaneously, managing competing priorities and timelines with a relentless focus on on-time, on-quality delivery.

AI & DIGITAL CAPABILITY

We are building a future-ready organization. This role is expected to:

  • Apply AI and technology to improve efficiency, quality, and outcomes
  • Use data and digital tools to inform decisions and enhance performance
  • Demonstrate curiosity and adaptability in adopting new technologies and ways of working
  • Contribute to a culture of innovation and continuous improvement

CAPABILITIES & EXPERIENCE YOU BRING

Required Qualifications:

  • 2–4+ years of experience in operations, product development, marketing, or a related function, with demonstrated ability to manage multiple workstreams simultaneously.
  • Experience coordinating with cross-functional teams or external partners to support program execution, including comfort navigating licensing, logistics, and finance workflows.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), with the ability to build and maintain operational trackers, reports, and templates.
  • Basic proficiency in Adobe Creative Cloud (Photoshop, Illustrator, InDesign) to support product imagery review and program documentation needs.
  • Strong organizational and communication skills, with the ability to exercise independent judgment and resolve complex operational, logistical, or compliance-related issues.
  • Ability to lift up to 50 lbs. when handling artwork and shipments.
  • Familiarity with a professional sports or gallery environment is a plus.

Education:

Bachelor's degree in Business, Operations, Marketing, Communications, or a related field — or equivalent professional experience.
