Position Description

The Executive Assistant provides high-level, confidential administrative and strategic support to the Owner of an NFL franchise, serving as a trusted partner in managing complex schedules, communications, and priorities across both business and football operations. This role requires exceptional judgment, discretion, and professionalism while scheduling meetings, travel, and correspondence; acting as a liaison with senior executives, league officials, partners, and external stakeholders; and proactively anticipating needs in a fast-paced, high-visibility environment. The Executive Assistant must be highly organized, adaptable, and capable of handling sensitive information, while supporting special projects and ensuring the Owner’s time and focus are optimized in alignment with organizational and league standards.

 

 

 

Essential Functions

  • Manages projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustment to plans
  • Prepare and communicate information on behalf of the Owner to internal and external stakeholders, ensuring consistency, professionalism, and follow-through.
  • Constantly monitor and report on progress of projects to all stakeholders
  • Provide  comprehensive support to the Team Owner across professional and personal matters, exercising discretion, anticipating needs, prioritizing requests, and ensure the effective management of the Owner’s time and strategic priorities.
  • Maintain personal and professional calendars, manage incoming telephone calls, email and mail of a confidential nature, prepare confidential correspondence, plan and coordinate meeting, conference and videoconference logistics ensuring scheduling decisions reflect organizational priorities and key relationships.
  •  Manages domestic and international travel schedules; schedules airline, hotel, ground transportation, and dining accommodations; and organizes itineraries while balancing cost, security, confidentiality, and business priorities.
  • Hosts the Owner’s suite on game days, overseeing catering, guests, and suite details for home and select away games, and serving as a primary point of contact for partners, VIPs, and league officials to support relationship management and organizational reputation.
  •  Conducts personal and professional errands and manages related vendors or service providers as needed, maintaining diplomacy while assertively fulfilling requests and ensuring that activities are handled in a manner consistent with the Owner’s standards and the organization’s brand.
  • Is responsible for work directly related to management policies or general business operations of the Tampa Bay Buccaneers under the supervision of the Owner, including prioritizing and coordinating the Owner’s commitments, managing the flow of information, and handling matters that require discretion and independent judgment.

Experience & Education

  • 3 to 5 years of experience providing personal and professional support to a top-level executive
  • Project management experience; training and/or experience with process management programs preferred

 

 

 

Technical Knowledge

  • Skilled in preparing reports, spreadsheets, and presentations
  • Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) or comparable tools

 

 

Additional Technical Knowledge

Proficiency with emerging workplace technology, including AI tools, with the ability to use those resources appropriately to support research, communication, scheduling, and administrative efficiency.

 

 

Work Environment

  • Extended evening, weekend work hours often required
  • Required to work all home and some away games
  • May have to work occasional holidays
  • Demanding work environment in executing work on short deadlines
  • Required to drive company vehicle, personal vehicle, or golf cart

 

 

 

 

Physical Fitness Standards

  • Computer and desk work a significant part of daily activities
  • Sitting, standing, working with hands for extended periods of time
  • Must be able to lift 20 – 50 pounds
