Overview

Summary Responsible for providing paralegal, clerical, and administrative support for the Legal Department including the General Counsel, Associate General Counsel, and Senior Counsel. This role combines paralegal responsibilities, such as contract management, corporate governance, and compliance support, with administrative duties including scheduling, document management, meeting coordination, and department administration. The ideal candidate is highly organized, detail-oriented, and capable of handling confidential information with professionalism and discretion while working effectively in a fast-paced environment.

  • Draft, review, and administer routine legal documents, including contracts, nondisclosure agreements, amendments, and correspondence.
  • Maintain contract databases and legal document management systems.
  • Organize and maintain electronic and physical records and filing systems.
  • Coordinate corporate filings and entity maintenance across applicable jurisdictions.
  • Support corporate governance matters, including board meetings, resolutions, minutes, and corporate records.
  • Support the formation, dissolution, and qualification of legal entities across multiple jurisdictions.
  • Track deadlines and ensure the timely submission of required reports and filings.
  • Conduct legal and business research on corporate, regulatory, and compliance matters.
  • Support due diligence and document collection for audits, transactions, and litigation.
  • Process invoices and expense reports and assist with Legal Department budget tracking.
  • Receive, assess, and route incoming communications and legal matters.
  • Support departmental projects and operational initiatives.
  • Safeguard confidential legal and business information.
  • Collaborate with Human Resources, Finance, and other internal departments on legal and administrative matters.
  • Administer contract workflows and legal intake requests.
  • Administer records retention processes.
  • Coordinate with outside counsel and track legal matters and related expenses.
  • Manage Legal Department calendars, meetings, and travel arrangements, as requested.
  • Provide notarial services, as needed.

Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • An associate’s or bachelor’s degree is preferred, along with a paralegal certificate.
  • A minimum of 5 to 7 years of experience in a paralegal, legal assistant, executive assistant, or comparable role is required.
  • Experience supporting an in-house legal department, law firm, or other corporate environment is preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams, is required.
  • Experience using Zoom, Workday, contract lifecycle management (CLM) software and document management systems is preferred. 
  • Successful candidates will also have the ability and desire to stay current with emerging technologies, including artificial intelligence tools and evolving digital workplace solutions.
  • Excellent written and verbal communication skills, including the ability to comprehend instructions, correspondence, and memoranda; draft clear and professional written communications; and present information effectively.
