The Role

Leads multi-state, multi-FEIN payroll tax operations for a fast-paced, high-volume environment, ensuring accurate and timely tax filings, deposits, and reconciliations. The responsibilities include payroll tax compliance, amendments, year-end processing, W-2/W-2c preparation, and audit support. Our ideal candidate is a self-starter and team player with strong Excel skills and experience leveraging AI tools to improve accuracy and efficiency. This role reports to the Manager, Payroll Tax.

What You'll Do

  • Manage end-to-end payroll tax compliance across multiple states, localities, and FEINs, ensuring accurate and timely filings, deposits, and reconciliations
  • Process and resolve payroll tax amendments and agency notices in a timely manner, partnering with ADP SmartCompliance as needed
  • Lead year-end payroll tax processing, including W-2 and W-2c preparation, review, and distribution
  • Maintain compliance with the latest federal, state, and local payroll tax laws and regulations, proactively identifying and implementing required changes
  • Reconcile payroll tax liabilities, deposits, and filings across multiple FEINs and jurisdictions on a regular basis
  • Partner with HRIS/Payroll teams on Oracle HCM to ensure accurate tax setup, employee tax profiles, and system configurations
  • Support mergers, acquisitions, and divestitures, including pre- and post-close payroll tax due diligence, FEIN setup/consolidation, and tax transition activities
  • Utilize advanced Excel skills (VLOOKUP, pivot tables) to analyze large volumes of payroll tax data, identify discrepancies, and drive resolution
  • Leverage AI tools to streamline payroll tax research, reconciliation, and reporting processes
  • Demonstrate the ability to switch between competing priorities and tasks in a fast-paced, high-volume environment while maintaining accuracy and deadlines
  • Support all payroll tax related internal and external audits
  • Initiate and develop strong relationships with internal stakeholders and external tax agencies/vendors to ensure proper communication and resolution of payroll tax issues
  • Perform analysis of complex payroll tax transactions to identify root cause issues, assess risk, and implement mitigation plans
  • Assist with Canadian payroll tax compliance, where applicable
  • Perform special projects as assigned, such as tax jurisdiction setup, system testing/upgrades, and process improvement initiatives

What We're Looking For

  • College degree preferred
  • 5+ years of multi-state, multi-FEIN payroll tax experience in a fast-paced, high-volume environment
  • Demonstrated experience with year-end payroll tax processing, including W-2 and W-2c preparation
  • Experience with ADP SmartCompliance and payroll tax amendments required
  • Experience with Oracle HCM or a similar payroll system
  • Up to date knowledge of federal, state, and local payroll tax laws and regulations
  • Advanced Excel skills required, including VLOOKUP and pivot tables
  • Experience using AI tools to support payroll tax analysis and process efficiency
  • Prior experience with mergers, acquisitions, and divestitures (pre- and post-close payroll tax activities) preferred
  • Canadian payroll tax experience a plus
  • Strong analytical and problem-solving skills, as well as organizational skills
  • Ability to deliver results in a fast-paced environment with attention to detail and the ability to switch between tasks
  • Drive & self-motivation with the ability to work independently as a self-starter
  • Strong verbal and written communication skills and the ability to work collaboratively across teams and vendors
  • Professional, dependable, and able to maintain confidential information
  • APA Certification (CPP) is a plus

The salary range represents base pay only and does not include short-term or long-term incentive compensation.
