Position Summary:

The Project Manager supports the planning, coordination, and execution of projects within the Project Management Department. This role assists in managing project timelines, budgets, documentation, and communication across teams and vendors to ensure successful delivery of assigned projects. The Project Manager works under the direction of the Principal Project Manager and plays a key role in maintaining project organization, facilitating administrative tasks, and providing operational support. This position is ideal for a detail-oriented, proactive individual seeking to develop project management experience in a dynamic and collaborative environment.

 

Responsibilities and Duties:

  • Assist in defining project scope, objectives, and deliverables, ensuring alignment with departmental goals.
  • Support development and monitoring of project budgets, expenditures, schedules, and work plans, including reconciliation, forecasting, and budget reporting.
  • Coordinate day-to-day project activities, meetings, and communications across internal departments, contractors, vendors, and external partners.
  • Maintain comprehensive project documentation, including meeting notes, schedules, progress updates, filing, invoice tracking, and recordkeeping for capital improvement projects.
  • Assist with vendor and contractor management, including tracking submittals, RFIs, change orders, and payment applications.
  • Support procurement and contracting processes by preparing supporting materials and coordinating with Legal and Procurement teams.
  • Facilitate permit applications, inspections, and correspondence with Authorities Having Jurisdiction (AHJs); participate in facility assessments and operational initiatives as assigned.
  • Manage project management software and dashboards, ensuring data, work-back schedules, and milestones are updated in real-time for executive reporting.
  • Prepare project closeout procedures and manage punch lists through final completion on all assigned projects.
  • Other duties as assigned.
     

Required Abilities and Skills:

  • Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Excellent attention to detail and accuracy in tracking project data and documentation.
  • Basic understanding of project management principles and construction or facility operations.
  • Strong written and verbal communication skills with the ability to interact effectively with diverse teams.
  • Demonstrates initiative, reliability, and a collaborative mindset.
  • Ability to adapt to changing priorities and deadlines.

 

Education and Experience:

  • At least 3-5 years’ relevant work experience; or an equivalent combination of education and experience.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); experience with project management software preferred.

This position is required to be on-site in Santa Clara, CA.

Compensation:

$90-95K
