WHAT WE EXPECT OF YOU
SUMMARY
The National Hockey League is seeking a Temporary Production Coordinator to provide operational and administrative support to the NHL Club Media team. The primary focus of this role will be the accurate input, organization, and tracking of Local Media Production and Club Media invoices. The position will also provide assistant-level support to SVP, Executive Producer, Local Media Production and VP, Operations – Local Media, including complex calendar management, travel coordination, meeting logistics, correspondence, and general follow-up. The ideal candidate is highly organized, detail-oriented, proactive, resourceful, and comfortable managing shifting priorities in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Input Local Media Production and Club Media invoices into designated systems and maintain complete, accurate, and current records.
- Track invoices from receipt through review, approval, and payment, following up promptly on missing documentation, discrepancies, and outstanding approvals.
- Maintain organized invoice trackers and supporting files, including vendor information, invoice dates, amounts, business purpose, approval status, and payment status.
- Review invoice submissions for completeness and consistency before routing them to the appropriate internal stakeholders.
- Coordinate with Club Media, Local Media Production, Finance, vendors, and other partners to resolve invoice questions or discrepancies.
- Skillfully manage complex calendars, scheduling, and travel logistics for SVP, Executive Producer, Local Media Production and VP, Operations – Local Media, ensuring meticulous attention to detail and handling last-minute changes with professionalism and flexibility.
- Coordinate domestic travel, including flights, hotels, ground transportation, itineraries, and schedule changes.
- Manage incoming communications and draft routine correspondence as needed.
- Assist with travel-related documentation and expense-report preparation, ensuring receipts and supporting materials are complete and organized.
- Take ownership of ad hoc projects and miscellaneous tasks while effectively managing shifting priorities.
- Maintain confidentiality and exercise sound judgment when handling financial, travel, scheduling, and other sensitive business information.
- Provide additional support to other members of the NHL Club Media team as needed, contributing to a collaborative and responsive team environment.
QUALIFICATIONS
Knowledge Areas/Experience
Required
- Experience in sports, media, entertainment, or another fast-paced organization is preferred.
- Understanding of video production and desire to learn more about live game production.
- Experience working on data entry, tracking or other related financial tasks.
- Demonstrated discretion and experience handling sensitive information with confidentiality.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook; familiarity with project management tools such as Monday.com is preferred.
Education/Certifications
- Bachelor's degree is preferred.

SALARY RANGE: $25-30 / hour
Actual base pay for a successful candidate will be determined based on a variety of job-related factors, including but not limited to: experience/training, market demands, and geographic location.
